OnHoldly

Privacy policy

Last updated October 12, 2026

This policy explains what personal information OnHoldly collects when you use OnHoldly, why, and the choices you have. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect

  • Account details: your name, email address and password (stored securely, never in plain text).
  • Team details: your business or team name, team members' names and emails, and their roles.
  • Content you create: scripts, details you give the AI writer, voice and music choices, audio recordings, comments and approval history.
  • Billing details: your plan and purchase history. Card details are entered on our payment processor's secure page; we never see or store full card numbers.
  • Usage and technical details: how many previews, scripts and recordings your team uses, and basic logs (such as IP address and browser) kept to run the Service securely.

We use only the cookies needed to keep you signed in and remember which team you're working in. We don't use advertising cookies.

How we use it

  • to provide the Service: create your recordings, run your team and process payments;
  • to send account emails, such as sign-up confirmation, password resets, invitations and review requests;
  • to enforce plan limits, prevent abuse and keep the Service secure;
  • to answer your questions and improve the Service.

We don't sell your personal information, and we don't use your content to train our own AI models.

Who we share it with

Like most online services, OnHoldly runs on carefully chosen third-party providers. They process information on our behalf for the purposes below, under agreements that require them to keep it secure and confidential. We use providers for:

  • Cloud hosting and storage: running the website and app, and securely storing your account, team details and recordings
  • AI voice and music services: turning your scripts into speech and creating background music
  • AI writing services: drafting scripts from the details you enter
  • Payment processing: taking payments and issuing invoices and receipts
  • Email delivery: sending account, invitation and review emails

We share only the information each provider needs for its task. For example, the AI voice service receives the script to be spoken, not your account details. If you have a question about a specific provider, email support@onholdly.com.

Some of these providers store or process information outside Canada, including in the United States, where it may be accessible to authorities under local law. We may also disclose information if the law requires it.

How long we keep it

We keep your information while your account is open. If you close your account, we delete your team's content within 90 days, except records we must keep for tax, accounting or legal reasons.

Your choices and rights

You can see and update your name and team details in the app. You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete your account, by emailing support@onholdly.com. We'll respond within 30 days. If you're not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.

Security

Data is encrypted in transit, and each team's information is kept separate by database security rules. Audio files are private and shared only through short-lived links. No system is perfectly secure, so please use a strong, unique password.

Children

OnHoldly is a business service and isn't meant for anyone under 18.

Changes to this policy

If we make significant changes, we'll tell you by email or in the app before they take effect.
